    Our Emeryville office is seeking a Receptionist / Office Assistant.  The office assistant should have high energy, be organized, proactive, flexible, and enjoy working within a results-driven, entrepreneurial environment. The ideal individual will have the ability to exercise exceptional judgment in a variety of situations, with good written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


    Schedule/Calendar Management

    • Answer all incoming calls, screen, and direct calls
    • Greet clients and vendors
    • Supports the executive team and clients in booking conference rooms
    • Order catering for meetings
    • Maintain conference rooms throughout the office to include resetting after meetings and restocking supplies as needed
    • Set up and reconfigure conference room layout for meetings or events to include but not limited to moving tables and chairs as needed


    Invoices / Correspondence

    • Answer vendor correspondence
    • Print invoices and assign matter codes
    • Process all business card and stationary requests for domestic and international BRG employees 


    •  Ensure kitchen areas are clean and stock food, beverage and paper goods according to established levels.
    • Set up mid-morning and afternoon snacks.
    • Load, run and unload dishwashers as needed throughout the day.
    • Inform the office of the refrigerator cleaning in accordance with the schedule established with the Office Manager.
    • Provide support and coordination of large and small-scale events – both on and off-site
    • Maintain neatness of the office common areas.
    • Serve as liaison with building services regarding common area maintenance such as light bulb replacement and carpet stain extraction.
    • Assist reception with responding to reports from staff related to building issues – i.e. office hot/cold.
    • Open office coffee bar and set up coffee concessions in the AM



    • Ensure copy rooms and copy stations are neat and stocked with supplies according to established levels. 
    • Inventory and order supplies weekly or as needed.
    • Receive and stock supplies upon arrival.
    • Ensure the storage areas are neat and organized.
    • Occasionally run errands to local supply company for special project needs.


    Mail and Storage

    • Open mail, stamp, and date mail and distribute mail to employees.
    • Monitor and refill office postage machine as needed.
    • Process Fed Ex label requests for the office, and shipment support.
    • Assist with storing and retrieving files from on-site and off-site storage.
    • Conduct postal drop at the end of the business day.


    Office Equipment

    • Ensure office equipment is properly maintained; troubleshoot malfunctioning equipment and contact appropriate vendor for resolution as needed.
    • Monitor printers/copiers to ensure adequate supply of paper each day, and discard previous day print jobs.
    • Maintain copier/printer toner inventory and reorder according to established levels.


    Education/Experience Requirements 

    • High School graduate required; college preferred
    • Minimum of one year of office experience in a professional service environment, preferably consulting or legal, with an emphasis on customer service.
    • Intermediate computer skills required: Proficiency in MS Word, Excel, PowerPoint and Outlook


    • Demonstrate consistently positive approach along with the highest level of customer/client service and responsiveness.
    • Strong interpersonal skills and the ability to build relationships.
    • Forward-looking thinker who demonstrates the ability to take initiative, anticipate needs, proactively problem-solving with strong decision-making capability and sound judgement.

    • Attention to detail, exceptionally organized and proven time management skills.

    • Demonstrated ability to work well under pressure and with time constraints.
    • Excellent verbal and written communication skills couples with proven ability to handle confidential information with discretion.
    • Professional personal presentation.
    • Flexibility and willingness to work occasional overtime as needed. 


    Physical Requirements 

    • Ability to lift or maneuver up to 50 pounds.
    • Ability to stoop, bend, kneel, push, pull and crawl.
    • Ability to stand/walk 50-75% of the day when backing up Office Services Assistant
